🛠️ Logging Special Guest Requests in Operto + Work Orders

🔐 Purpose

To ensure all guest special requests are properly scheduled, assigned, and communicated using Operto, WhatsApp, and guest confirmation.


✅ Step-by-Step Instructions

1️⃣ Login to Operto

  • Go to operto.com
  • Use the main company credentials stored in LastPass to log in.

2️⃣ Create a Task for the Special Request

  • Click on the Scheduling tab from the left menu.
  • On the right side of the screen, click “Actions” → “Add Standard Task.”
  • Choose the Property where the request applies.
  • Under Task Type, select “Inspector – Property Task.”
  • Enter the request in the Short Title field (e.g., “Pool Heat Request,” “Set Up Pack & Play,” etc.).
  • For the Task Date and Complete By Date, select the guest’s check-in date.
  • Click Next.

3️⃣ Attach the Task to a Booking

  • In the gray Attach to Booking section, select the correct booking by searching for the guest name or reservation.
  • Click the white “Attach Booking” button to link it.
  • Then click Save to create the task.

4️⃣ Alternative Method – Edit Inspection Task Directly

  • Go to the Scheduling Calendar view.
  • Find the Inspection Task for the date of the guest’s arrival.
  • Click the task to edit it.
  • In the “Instructions for All” section, type in the special request.
  • Click Save.

5️⃣ For Maintenance Requests

  • Follow the same process as above, but instead of selecting Inspector – Property Task, choose “Maintenance – In-House.”
  • Proceed with the same steps to assign it to the correct date and booking.

6️⃣ Notify the Inspector or Maintenance Team

  • Go to the Inspector Feed in WhatsApp.
  • Send a message that includes:
    • The type of request
    • The guest name
    • The check-in date
    • The property address

Example:

Hello team, please note guest John Smith at 728 Golfview has requested pool heat for their check-in on July 14. It has been added to Operto. Thank you!


7️⃣ Confirm with the Guest

  • Reply to the guest confirming the request has been received and will be completed prior to check-in.

Example:

Thank you for your request! We’ve added it to our schedule and it will be taken care of before your arrival. Let us know if you need anything else.
