🕒 Using Rippling for Time Tracking, PTO, and Personal Info

🔐 Purpose

To ensure accurate time tracking, payroll processing, and leave management using Rippling. Monica is the sole contact for Rippling questions.

⏰ 1. Clocking In & Out

  • Log in at Rippling.com or via the mobile app using company credentials from LastPass.
  • On desktop: go to Time & Attendance → click Clock In when your shift begins and Clock Out when it ends.
  • You can also use the mobile app to clock in/out, including optional GPS and break tracking .

📆 2. Completing Your Timecard

  • Timecards are automatically generated from clock-ins/outs.
  • Must be accurate and fully updated by Friday each week. Payroll runs Saturday–Friday, and employees are paid weekly.
  • Review your timecard every Friday and make edits if necessary.

🛠️ 3. Editing a Missed or Incorrect Punch

  • In Time & Attendance, select the date and click Edit.
  • Adjust the clock-in/out times and add a reason for the correction (e.g., “Forgot to clock in – corrected by [name]”).
  • Katie or Monica (external payroll) must review and approve the change.

🌴 4. Requesting Time Off (PTO)

  • Each employee receives PTO hours per year.
  • To request time off:
    1. Navigate to Time Off
    2. Click Request Time Off, input dates and type (Vacation, Sick, etc.)
    3. Add reason if needed and submit
    4. Notify Katie via message or email for approval
    5. Once approved in Rippling, post your dates in the Vacation/Coverage WhatsApp feed so the team can cover your tasks

👤 5. Updating Personal & Tax Information

  • Keep your profile up to date (address, dependents, tax withholding) via Rippling → Profile/HRIS.
  • This ensures tax forms and payroll deductions are accurate.

🔁 6. Weekly Payroll & Accuracy

  • Complete timecards by Friday to align with Saturday–Friday payroll window.
  • Weekly pay ensures consistent compensation.

📣 7. Escalations & Assistance

  • Monica is the only contact for Rippling questions (clocking in/out, time off, corrections, profile updates).
  • Any issues with approvals or payroll inconsistencies should be directed to Monica immediately.
