🔎 Finding, Searching & Filtering Guests in OwnerRez
Purpose:
To efficiently locate and manage guest profiles and historical stays using OwnerRez’s search and filter capabilities.
1. Access the Guest List
- Log into OwnerRez.
- Navigate to Guests in the left-hand menu to view your full guest directory.
2. Use the Search Bar
- Enter any of the following to quickly locate a guest:
- Guest name (first or last)
- Email address
- Phone number
- Guest ID
- Results show matching guest profiles and booking summaries.
3. Apply Filters
- Click Filter to refine the list by:
- Guest first/last name
- Email or phone
- Booking date range
- Booking status (e.g. confirmed, canceled, pending)
- Property stayed
- Channel (e.g. Airbnb, direct)
- Combine filters for specific searches, such as “Guests who stayed at Property A in 2024 via Airbnb”.
4. Review Guest Profiles
- Click on a guest’s name to view full details:
- Contact info and custom fields
- List of past and upcoming stays
- Guest notes and preferences
- Booking history and transaction records
5. Export or Save Results
- Use Export (e.g. CSV) for reporting or data analysis.
- Save frequent filter combinations as saved search views for quick future access.
6. Bulk Actions
- Select multiple guest profiles to:
- Send group emails (e.g., promotions or updates)
- Update custom fields or tags in bulk (e.g., “VIP”, “Repeat Guest”)
