💬 Sending Inquiry Follow-Ups on All Platforms

Purpose:
To ensure all open inquiries are followed up with during every shift to help capture last-minute bookings and convert guest interest into reservations.


🔄 WHEN TO COMPLETE THIS TASK

  • Once per shift — preferably during downtime or after handling urgent tasks.
  • Monitor replies after sending to stay responsive.

📍 AIRBNB INQUIRY FOLLOW-UP PROCESS

  1. Log into Airbnb
    • Go to your Hosting Dashboard → Messages
  2. Apply the Filters
    • Filter results:
      • Homes
      • Filters
      • Reservation Requests
      • Apply
  1. Open Each Conversation
    • Before sending anything:
      • Look to the right panel (under guest count, above special offers)
      • If it says:
        “These dates are no longer available”Skip the conversation
      • If it does not say that → proceed

  1. Send Follow-Up
    • Use the “Follow Up Response” quick reply template
    • Send the message to encourage them to complete their booking
  2. Monitor Any Replies
    • Stay alert to new messages in the inbox during your shift

📍 VRBO INQUIRY FOLLOW-UP PROCESS

  1. Log into VRBO
    • Click Katie’s name in the upper-right corner
    • Select Owner Dashboard from the dropdown
  1. Navigate to Inbox
    • Click Inbox
    • Then click the Inquiries button next to the “Filters” section
  1. Open Each Conversation
    • Use the “Follow Up Response” quick template
    • Follow up with the guest about completing their reservation
  2. Monitor Replies
    • Watch for guest responses during your shift

📍 DIRECT INQUIRIES – OwnerRez

  1. Log into OwnerRez
    • Click on the Inquiries tab
  2. Open Any Recent Direct Inquiries
    • Direct Inquiries will be from southfloridavacations.net
    • Copy the “Follow Up Response” from Airbnb or VRBO
    • Paste and personalize if needed based on the inquiry
