🧰 Closing Out Completed & Overdue Issues in Operto
🔐 Purpose
To maintain an organized and efficient workflow in Operto by regularly closing out completed or outdated maintenance and property issues, keeping the open task list under 20 at all times.
✅ Step-by-Step Instructions
1️⃣ Log In to Operto
- Go to vrscheduler.com/login
- Use the main company credentials stored in LastPass.
2️⃣ Navigate to the Issues Dashboard
- On the dashboard, click “Issues.” on the right side.
- Once inside the Issues section, locate the “Created” column.
3️⃣ Sort by Oldest Issues
- Click the up arrow (▲) next to the “Created” column header.
- This will reorder the list so the oldest issues appear at the top.
4️⃣ Identify Issues to Close
- Look for a black ☑️ checkmark either:
- Under the “Created” column, or
- In the “Issue” column.
- As a rule of thumb, if the issue is older than 30 days, select it for closure unless you’re aware it still needs attention.
- Check the box on the left side for each qualifying issue.
5️⃣ Bulk Close Issues
- Once all relevant issues are selected, click the “Close Checked” button at the top left above the pagination controls.
- This will bulk close the selected tasks.
6️⃣ Weekly Maintenance
- Perform this process once per week during your shift.
- Always aim to keep the open issues count below 20.
- If you see more than 20 active issues, then it hasn’t been done in a while, and you need to point it out in the endorsements for the next shift after you’ve closed them out.
