Purpose:
To ensure timely, accurate, and professional responses to direct booking inquiries received through OwnerRez.

Step 1: Monitoring for Inquiries šŸ‘€

There are two main ways to monitor incoming inquiries:

  1. šŸ“¬ Reservations Email Inbox
    • Direct booking inquiries will typically arrive via email to the Reservations Inbox.
    • Check this inbox regularly throughout the day to ensure no delay in response.
  2. šŸ’» OwnerRez Inquiries Tab
    • All inquiries can also be viewed in the Inquiries tab inside OwnerRez.
    • To check:
      • Log into OwnerRez.
      • Click Inquiries on the left-hand menu.
      • View all new, pending, and past inquiries.

Step 2: Review Inquiry Details šŸ”

  • Click into the inquiry to view:
    • Guest name šŸ‘¤
    • Contact info šŸ“ž
    • Requested dates šŸ“…
    • Number of guests šŸ‘„
    • Property of interest šŸ”
    • Guest message or questions šŸ’¬

Step 3: Respond to the Inquiry āœ‰ļø

  • Click Reply directly from the inquiry view or respond through your email inbox.
  • Address the guest professionally, confirm availability, and offer assistance.
  • If appropriate, offer to send a formal quote and secure booking link.

Example response:

Hi [Guest Name],
Thank you for your interest in staying at [Property Name] šŸ–ļø The dates you inquired about are currently available. Iā€™d be happy to send over a detailed quote and secure booking link šŸ”— if you’d like to move forward. Let me know if you have any specific questions!

Step 4: Convert to Quote if Guest is Interested šŸ’¼

If the guest wants to move forward:

  1. Click + Create Quote at the top of the dashboard.
  2. Select:
    • Property šŸ 
    • Dates šŸ“†
    • Party size šŸ‘Øā€šŸ‘©ā€šŸ‘§
  3. Enter guest contact info (or create a new contact).
  4. Adjust automatic charges or add any necessary fees (pet, event, etc.) šŸ’²
  5. Send the quote with a professional message and payment link.
